Add passengers to a trip

Passenger details belong to an individual trip. DriveHub saves the count and names you enter; whether a report amount is calculated depends on its country, rate and usage rules.

Find the passenger section

Open a saved trip from Trips and scroll its details. The Passengers section can also appear on personal trips; its presence does not mean every country or report calculates an amount, and name requirements vary by country and regime.

If you cannot see the section, check that you opened a saved trip rather than a general report screen. The app also varies required fields by country and by whether the car is your own, reimbursed or provided by an employer.

  1. Open Trips and select the saved drive.
  2. Scroll to Passengers. If the section is not present, check the trip’s country and the car-use regime selected in Settings.
  3. Before adding anyone, confirm they rode on this trip; do not add the driver as a passenger.

Add, name or remove a passenger

Each row represents one passenger. Tap “Add a passenger” to create a row, then enter the person’s name in the Passenger name field. The app allows up to nine passenger rows; this is an app limit, not a legal cap. Remove a row with its remove control if the person was not on the drive or was entered by mistake.

  1. In the trip’s Passengers section, tap “Add a passenger”.
  2. Enter or correct the name in the new row. For a country where the trip checklist asks for passenger names, make sure each listed person has a name before completing the review.
  3. Tap the remove control beside an incorrect row. Reopen the trip to confirm the intended count and names remain.

Check what appears in Reports

Reports use the saved passenger count when the selected country and regime have an applicable passenger rate. The calculation also needs a published rate and claimable trip distance; otherwise the amount may be zero. DriveHub does not decide whether a passenger or trip meets external rules.

Open the report preview after saving trip details. You may see a passenger count and a separate passenger amount; a report can also show no passenger amount even when names are stored. Compare the report row with its source trip.

  1. Open Reports and choose the correct year or period and vehicle.
  2. Preview the output and inspect the trip row, passenger count and any separate passenger amount.

Why a name or section may be required

DriveHub asks for passenger names on business trips in Norway when “How you use this car” is set to “Employed, reimbursed for my own car”. The Passengers section can also appear in other country and regime combinations where the app calculates a passenger amount; those combinations do not make names a checklist requirement.

If the checklist says a name is missing, return to the trip’s Passengers section and fill every listed row, or remove a passenger who was entered accidentally. If the section is unavailable or a report shows zero, review the selected country, usage regime, rate and trip type. For legal eligibility or filing treatment, confirm the rule with your employer or tax authority; DriveHub’s stored count is not an eligibility decision.

  1. Open the trip review and read any missing-information item rather than changing unrelated trip fields.
  2. Check Settings for the country and how you use the car, then reopen the report preview.

The passenger section is missing?

Tell support the trip country, how you use the car and whether the trip is marked as business. Do not send passenger names unless necessary.
