SUPPORT / HOW TO
Prepare a file for your accountant
Accounting files use the selected trips and bookkeeping settings. Confirm the intended format and accounts with the person importing them.

Start with the correct trips and period
In Reports, choose the period and vehicle filter, review the business trips and check the country and rate. Accounting export requires Pro. The available formats depend on the country and settings; not every destination appears for every country.
- Check the selected period, vehicles, business types and amounts.
- Scroll to For your accountant below the ordinary report export.
- Use Set up accounting export if account details are missing.

Use your actual accounting setup
The Accounting export screen asks for Expense account and Counter account. DATEV also asks for the setup fields it needs. These details must agree with the ledger that will receive the file. A suggested example is a starting point to check, not a confirmation that it fits your books.
- Ask the accountant or importing software administrator which accounts and format to use.
- Enter the two account identifiers and any additional required fields shown.
- Check business or report identity fields if the export asks for them, then return to Reports.

Choose the accounting format shown
Tap the required format in For your accountant, such as DATEV, SIE, Procountor or the offered accounting CSV. This is a separate action from the trip-table CSV in the PDF preview. DriveHub’s Procountor file intentionally has no header row.
- Choose the destination after reviewing its setup messages.
- Use the iPhone share sheet to save the generated file in Files or send it to your accountant.
- Check the period and totals with the recipient before importing; avoid importing the same file twice.

Read the specific export message
Missing setup fields open the place where you can fix them. A mixed-currency period cannot produce one accounting file. DATEV export also rejects a period spanning two financial years. Nothing to post means there is no business-trip amount available to book in that selection; it is different from a failed export.
- For missing settings, complete the named field instead of changing an unrelated rate.
- For mixed currencies or years, select a suitable separate period or vehicle scope and check it again.
- After correcting the log or setup, generate a fresh file and agree with the accountant how to replace any earlier import.
